About Wellness By Jules
Wellness By Jules is an independent online wellness practice offering one-to-one Quantum Energy Coaching (QEC) and Reiki appointments.

References to “we”, “us” and “our” mean the legal operator of Wellness By Jules. References to “you” mean the person using the website or purchasing a service.
02 · What the service is
Wellness scope and important limits
QEC and Reiki are complementary wellness services. They are not medical diagnosis, medical treatment, psychotherapy, crisis support or emergency care, and they are not a replacement for advice or treatment from an appropriately qualified healthcare professional.
- No particular physical, psychological or financial outcome is promised or guaranteed.
- You remain responsible for decisions about your health and for seeking appropriate professional care.
- Do not delay or stop prescribed treatment because of anything discussed during a session.
- If you are in immediate danger or experiencing a medical or mental-health emergency, use the appropriate emergency service rather than this website.
Services will be provided with reasonable care and skill. Nothing on this page excludes or restricts rights that cannot lawfully be excluded, including liability for death or personal injury caused by negligence.
The current online service is intended for adults. Please contact Jules before booking for anyone under 18 and do not submit a child's health information unless this has been expressly agreed in advance.
03 · Your appointment
Booking, payment and online sessions
- Service descriptions, appointment length, available time and total price are shown before checkout.
- A standard appointment is confirmed only when Stripe confirms successful payment.
- An appointment arranged by Jules remains awaiting payment until the client completes checkout.
- Payment card details are handled by Stripe and are not stored by Wellness By Jules.
- Appointment times are displayed using the time zone saved in the client's account or detected by the booking flow. You should check the date, time and time zone before paying.
- Clients need a suitable device, internet connection and private location for an online appointment.
- Personal Zoom access must not be shared, published or used to admit another person without prior agreement.
Information presented before checkout, these terms and the booking confirmation form the service contract. A durable copy or summary of the booking and the version of these terms accepted at checkout will be sent or made available after purchase.
If Wellness By Jules needs to make a material change before the appointment, we will explain the change and offer an appropriate alternative or refund. Changes to this page do not retrospectively replace the version accepted for an existing paid booking.
04 · Changing plans
Cancellation, rescheduling and refunds
Our 24-hour booking policy
- You can normally cancel or reschedule online until 24 hours before the appointment starts.
- Eligible refunds are returned to the original payment method. Bank and payment-provider processing times may apply.
- Inside the final 24 hours, online changes close and you should contact Jules as soon as possible.
- A late cancellation or missed appointment may be charged up to the loss reasonably caused by reserving that time, taking account of costs avoided and whether the appointment can be filled.
- If Wellness By Jules cancels and no suitable replacement is agreed, the affected appointment will be refunded.
Your statutory cancellation rights
Nothing in the 24-hour policy removes any cancellation or refund right given by consumer law. Some online service contracts have a 14-day cancellation period. Some services connected with leisure activities on a specific date may be excluded from that period. Where a statutory cancellation period applies and you ask for a service to begin during it, you may have to pay a proportionate amount for work already supplied; the right may end once the service has been fully performed with the acknowledgements required by law.

05 · Your information
Privacy notice
Wellness By Jules is the data controller for the personal information used to operate the practice. Privacy questions and rights requests can be sent to jules@wellnessbyjules.com.
Information we use
- Identity and contact details, including name, email, telephone number and time zone.
- Account, authentication and security information.
- Booking details, attendance, cancellation history and payment status.
- QEC or Reiki intake responses, which may include health, medication, mental-health and personal-history information.
- Emergency-contact information supplied by a QEC client.
- Messages, support requests, consent records, audit events and limited technical logs.
- Stripe transaction identifiers and payment outcome. We do not receive or store full card details.
Why we use it and our legal bases
- To create accounts, arrange and deliver appointments, take payment and provide session access: performance of a contract or steps requested before entering one.
- To send essential authentication, booking and appointment messages: performance of the service and our legitimate interest in operating it reliably.
- To protect accounts, investigate misuse and maintain audit records: our legitimate interests in security and legal compliance.
- To meet accounting, consumer-law and other legal duties: compliance with legal obligations.
- For health and other special-category intake information: explicit consent, alongside the relevant ordinary-data lawful basis.
We do not sell personal information and do not use intake answers for advertising. We do not make solely automated decisions with legal or similarly significant effects.
Who receives information
We use carefully selected providers to run the service, including Supabase for accounts and protected records, Stripe for payments, Resend for service email, Zoom for online appointments and Cloudflare for website delivery and security. Professional advisers or public authorities may receive information where this is necessary and lawful. Each provider receives only the information needed for its role.
Some providers may process information outside the UK. Where UK transfer rules apply, we use the provider's contractual and transfer safeguards and review the relevant processing terms.
How long we keep it
We keep identifiable information only for as long as it is needed for the stated purpose, legal or accounting obligations, insurance requirements, safeguarding, complaints or legal claims. Intake retention is reviewed separately from ordinary account and booking data. Records that are no longer needed are deleted or anonymised. Testing records are not treated as live client records and must be removed or clearly separated before launch.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or an objection to processing. You can withdraw consent for future processing of intake health information at any time. Withdrawal does not make earlier lawful processing unlawful, but it may mean that Jules cannot safely provide a future QEC or Reiki service.
You can complain first to Wellness By Jules using the address above. You also have the right to complain to the Information Commissioner's Office.
06 · Sensitive information
Intake consent and handling
QEC intake information can be highly sensitive. Before submitting it, you will be asked for a separate, explicit health-data consent. Booking terms, the wellness-scope acknowledgement and any future marketing choice are kept separate from that consent.
- Consent must be an active choice and can be withdrawn by emailing Jules.
- For live submissions, the consent record must identify the authenticated client, date and time, intake form, wording and policy version presented.
- Only provide information that is relevant to preparing for and delivering the requested service.
- If a question does not apply, say so rather than adding unrelated sensitive detail.
- Do not include another person's health information unless it is necessary and you are authorised to provide it.
- If you provide an emergency contact, please make sure they know their contact details are being shared for this limited purpose.
- Intake answers are not placed in payment metadata, ordinary email content, website addresses or analytics.
A typed name may be used as an acknowledgement, but the main consent evidence is the authenticated action together with the exact wording, version and server-recorded time. Withdrawing consent may prevent the affected service from continuing where the information is genuinely required to provide it.
07 · Website storage
Cookies and local storage
The website uses browser storage and similar technology where needed for secure sign-in, account sessions, booking progress, fraud prevention and remembering information required to complete a user-requested journey. These technologies are not used to store QEC medical answers.
Strictly necessary storage does not require opt-in consent, but it is described here for transparency. If optional analytics, advertising, session-replay or other non-exempt technologies are introduced, they will not be enabled until the required choice has been provided. Rejecting optional technologies will be as easy as accepting them.
08 · Getting help
Contact, complaints and accessibility
Questions, cancellations, privacy requests, accessibility needs and complaints can be sent to jules@wellnessbyjules.com. Please include enough information to identify the relevant booking, but do not send detailed medical information in an ordinary email.
We aim to acknowledge complaints promptly and explain the proposed resolution. If a complaint concerns a statutory consumer right, nothing in this process prevents you from using any remedy available under applicable law.
Wellness By Jules aims to make the booking and service experience accessible. Tell Jules about any reasonable adjustment you need; you will not be charged for a reasonable adjustment.
